1. Introduction

Welcome to Vehicle HealthCheck. These Terms and Conditions govern your use of our platform, which provides digital tools for creating vehicle health checks, documenting findings with photo evidence, recommending and pricing work, and (on Pro) sending secure customer reports. By registering an account or subscribing to any plan, you agree to these terms in full. If you do not agree, you must not use the platform.

2. Services & Account Creation

The platform provides the following services:

  • Platform Access: Digital vehicle inspections, report history, and related workshop tools as described on the website for your selected plan.
  • Self-service sign-up: New Garage Admin accounts sign up via the application login page. Email verification is required before the garage is provisioned.
  • Pro trial: New garages receive a 14-day Pro trial after successful email verification and provisioning. No card is required for the trial.

3. Subscription and Payments

  • Pricing: All prices are as stated on the website and in the application billing settings. We reserve the right to adjust pricing with 30 days' notice to existing subscribers.
  • Billing: Subscriptions are billed in advance on a recurring basis — monthly or yearly depending on your chosen plan.
  • Cancellations: You may cancel your subscription at any time. Under applicable EU/UK consumer law, cancellation rights may apply. As this is a B2B digital service, the 14-day cooling-off period typically expires once the service has been fully provisioned and accessed.

4. Data & Privacy

When you register or subscribe, we collect the following data:

  • Your name, business name, email address, and payment details.
  • Usage data — how you interact with the platform, including search queries and report history.
  • Uploaded content: images, vehicle registration numbers, and inspection notes used to generate reports.

Your data is used for:

  • Service Delivery: Account management, verification and garage provisioning.
  • Reporting: Generating, syncing, and storing digital vehicle health check reports.
  • Communication: Emailing reports to your customers and providing support.
  • Billing: Processing subscription payments securely.

5. Data Processing Roles

  • As a Data Controller: Vehicle HealthCheck controls subscriber (garage) data for billing and account management purposes.
  • As a Data Processor: We process end-customer data on behalf of garages. The garage remains the Data Controller for their customers' data and must ensure appropriate consent is in place.
  • Security: We implement industry-standard measures to secure all data and uploaded images.

6. Intellectual Property

The platform, including its default inspection fields, reporting layout, and all associated software, is the exclusive property of Vehicle HealthCheck. Users are granted a limited, non-transferable licence to use the platform solely for their own business operations. You may not reproduce, resell, or redistribute any part of the platform without express written consent.

7. User Responsibilities

By using the platform, you agree to:

  • Provide accurate vehicle data, images, and status indicators in all reports.
  • Ensure you have appropriate customer consent before sharing inspection reports via email.
  • Maintain your own backups of critical business records, in addition to the automated syncing provided by the platform.
  • Not use the platform for any unlawful purpose or in any way that violates these terms.

8. Limitation of Liability

To the maximum extent permitted by applicable EU/UK law, Vehicle HealthCheck shall not be liable for any indirect or consequential losses resulting from:

  • Inaccurate mechanical inspections performed by the user or their staff.
  • Temporary platform downtime or data loss beyond our reasonable control.
  • Disputes between the garage and their end customers arising from shared reports.

9. Governing Law

These Terms and Conditions are governed by and construed in accordance with the laws of the United Kingdom and relevant EU regulations. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.

10. Changes to These Terms

We reserve the right to update these Terms and Conditions at any time. Where changes are material, we will notify existing subscribers with at least 30 days' notice. Continued use of the platform after changes take effect constitutes your acceptance of the revised terms.
